Inbox coverage

Keep customer messages from piling up

Order status, returns, shipping questions and account changes tend to repeat. An assistant can work through them in your help desk each day.

How outsourced chat and email support is set up

Setup is mostly about writing down what is in people's heads. Before an assistant answers a single customer, you agree the basics: which channels they cover, which hours, what tone to use, what they can resolve alone and what needs approval.

From there, the assistant builds or tidies saved replies in your help desk, sets up tags for common topics and writes a short escalation guide. A trial period follows where replies are drafted and you approve them before they send, or where you check a sample each day. Once the replies match your voice and the edge cases are covered, the assistant answers routine messages directly.

If that sounds like a fit, describe your queue and the tools you use.

Coverage hours and how they are agreed

Support coverage is agreed in hours and channels. Some businesses want a block every weekday morning to clear whatever arrived since the day before. Others want chat staffed during their busiest hours, or extra cover around a sale or product launch. Evenings and weekends can be included when the arrangement allows.

The quote depends on those hours, the number of channels and how much each conversation involves. Email can be answered in batches, while live chat needs someone watching the widget, so the two are often scoped separately. Be specific about when you want replies to go out and what customers should see outside those hours, such as an auto reply that says when someone will be back.

What to have ready for support handover

  • Access to your help desk or shared inbox, as a separate user
  • Your current policies on shipping, returns, refunds and warranties
  • Any replies you already send for common questions
  • Read access to order, booking or account tools the assistant needs to look things up
  • A rough tone guide, even a few lines on how you like to sound
  • Your limits on refunds and exceptions, and who approves them
  • The hours and channels you want covered

Missing pieces are normal. Writing the policy gaps down is part of the setup.

Questions about customer email and chat support

Which help desk tools can a support assistant work in?

Common ones include Zendesk, Help Scout, Gorgias, Freshdesk, shared Gmail or Outlook inboxes and the chat widgets built into most site platforms. You add the assistant as a separate user in your own account, so every conversation and customer record stays with your business.

Can the assistant issue refunds?

Only if you decide they can, and within limits you set. Most businesses keep refunds, credits and exceptions as approval items: the assistant gathers the details, writes a short summary and routes it to a named person, who decides. The customer is told someone will follow up, without a promise of the outcome.

How does the assistant learn our voice?

From your existing replies and a short tone guide. During a trial period, replies are often drafted and approved by you before they send, or you check a sample each day. Corrections are added to the tone guide and saved replies, so the same note does not need repeating.

Describe the work, and a service partner will scope it with you and send a quote.
